Hiring a video crew in Orlando vs. flying one in

Every company that comes to film in Orlando runs into this question. Do I bring the production company I already work with, or hire someone in town?

I work on both sides of that equation, in Brazil and in Florida, so here’s how I see it.

What flying a crew in costs

The filming fee is only the start. Add a flight for each person. Hotel and meals for every day of the trip, not only the filming days. Moving the equipment, or renting it on arrival. And the travel days, which are paid even though nobody switches on a camera.

For a half-day shoot, it’s very common for the trip to cost more than the video.

What you get from a crew that’s already there

The first gain is obvious: no travel cost. You pay for the filming and that’s it.

The second shows up when something changes. The schedule moves, an extra shoot comes up, the client can only do early tomorrow. A crew already in town can handle it. A crew with a flight home booked can’t.

The third is knowing the place. People who film in Orlando all the time already know how the convention halls work, the access rules, where to unload equipment.

When it makes sense to bring your own

It makes sense when the production company knows your brand inside out and the project is long, with several filming days. Then the travel cost spreads out. For short coverage, it almost never pays off.

The middle ground
